Over 14 years, I’ve worked across legal, real estate, consulting, tech, e-commerce, and more. I’ve supported every kind of business entity structure and handled every part of operations, including finance, for global organizations. Across all of it, the businesses that outgrow their operations tend to show the same four signs.
When it comes to scaling business operations, almost every one of those signs traces back to communication.
That may sound surprising. Operations is usually thought of as background work, systems and spreadsheets running quietly behind the scenes. But my degree is in Communications and Sociology, and communication has been at the center of everything I’ve done since. I truly believe clear, proactive, and compassionate communication prevents 99 percent of problems, in business and in life.
1. Communication keeps getting crossed.
Clients ask the same question twice. Team members work from different versions of the same plan. A detail discussed in one meeting never reaches the people who needed it.
This shows up most during the moments that matter, such as system migrations, new launches, processes that involve multiple departments, and business development efforts. Keeping everyone on the same page is what lets a team move faster, collaborate well, and make a transition feel seamless instead of chaotic.
2. Every decision still waits on you.
Your team is capable, yet nothing moves without your input. Often that’s because the people supporting you bring you problems instead of solutions. It’s one of the clearest signs you may need more than an online business manager.
When I identify a problem, I bring the whole solution with it. When a plan needs to change, I say so proactively, before it becomes urgent, rather than waiting to react. That’s what allows decisions to keep moving without everything routing back through the founder.

3. Client experience depends on who is handling it.
One client receives a seamless experience, and the next waits days for an answer. When that happens, the process usually lives in someone’s head instead of in a system, and no one is communicating it consistently.
I’m constantly available to my clients, and I give my personal cell number to my clients’ clients. I know not everyone agrees with that choice. For me, it means the people my clients serve always have a direct line to someone who knows what’s happening.
With two of my clients, I work as their fractional COO, which means communicating directly with their clients and attending in-person meetings and events on their behalf. Operations is usually internal work that happens in the background, and most people in this field stay there. I can do both, and that’s what makes my work different.
4. You can’t step away.
A long weekend feels risky. A real vacation feels impossible. If the business can’t run for a week without you, it’s being held together by effort rather than structure.
What changes this isn’t another tool. It’s proactive updates, clear processes, and someone you trust making sound decisions while you’re gone, so stepping away feels like part of the plan instead of a gamble.
Clear, proactive, and compassionate communication prevents 99 percent of problems.
Scaling business operations and marketing, together.
Most OBMs are seen as executors working in the background, focused on internal operations. My work spans both sides, internal operations and external marketing, and communication is what connects them. I set strategy and priorities, not just execute against them.
If these signs sound familiar, there are two ways to work together. The Business Management Retainer brings operations, communication, and marketing together under one steady hand. The Fractional COO Partnership goes further, with a partner who leads your operations, carries the responsibility alongside you, and can step forward to communicate with your clients directly.
